Privacy Policy
Data we collect from organizers and participants
Apex Athletics Agency Ltd. respects your privacy and is committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website, submit event briefs, or participate in our managed tournaments. We collect identity data (first name, last name), contact data (email address, telephone numbers, corporate addresses), and financial data required to process deposits. For participants, we collect digital waiver signatures, emergency contact information, and basic health disclosures necessary for on-site medical standby personnel.
How we use your event data
We use your personal data exclusively to manage our relationship with you and execute your chosen tournament format. This includes processing your booking brief, communicating regarding venue logistics, sending you post-event media recaps, and ensuring our standby medical staff has access to necessary emergency contact files during the event execution phase. We do not sell your corporate or participant data to external marketing agencies.
Participant waiver tracking
Our proprietary digital systems handle all participant waivers prior to the event date. This data is stored securely on Canadian servers and is accessible only to the designated on-site tournament director for the duration of the event. Post-event, this data is securely archived to comply with our liability insurance mandates and is completely purged after the legally required retention period expires.
Third-party service providers
To execute broadcast-quality tournaments, we occasionally share minimal, necessary operational data with verified third-party partners. This includes providing team rosters to our contracted, certified referees and sharing aggregated cap numbers with venue management and catering services. These providers are bound by strict confidentiality agreements and are prohibited from using this data for any purpose other than fulfilling their specific operational roles during your tournament.
Your data rights under Canadian law
Under applicable Canadian privacy laws (including PIPEDA), you hold the right to request access to your personal data, request correction of the personal data that we hold about you, and request erasure of your personal data where there is no good reason for us continuing to process it. Organizers may exercise these rights by contacting our privacy compliance team directly.
